1. About Hotels

a. You must be at least aged 18 to check in a hotel.

b. Maximum total number of guests is 3 per room.

c. Maximum number of adults is 2 per room.

d. Maximum number of children per room/unit is 2.

e. The hotels consider guests aged 12 and under, at time of travel, to be children.

f. China hotels are always in great demands; some hotels do not guarantee bed type and smoking preferences for guests.

g. Availability of accommodation for extra guests is not guaranteed by hotels.

h. For an early check-in or late check out, the hotel will charge an extra room fee.

i. Normally, the hotel room rate will be increased during public holidays, such as International Labor Day (from May 1st to May 7th), China National Day (from Oct 1st to Oct 7th), New Year’s Eve and Chinese Spring Festival. The published hotel room rate is subject to change without any prior notice but is fixed once a reservation has been confirmed.

j. If you need to extend your stay at any of hotels you have used in China, you can contact us directly as early as possible to ensure room availability to get similar rates as a preferred customer of the hotel. We cannot ensure such rates if you try to book with the hotel desk clerks.

2. About Reservations

We make the room reservation based exactly on the information you provide to us. Please ensure all the information including: the city you will visit, your arrival and departure date, your hotel choice, names of the guests as shown in their passports. In addition, the details of both arrival and departure flights are necessary when making your reservation.

3. About Rates

1. The room rate is quoted in US dollars. The room rate is for double or single occupancy, including 15% service charge and excluding other imposed fees like Government Tax, City Construction Fee, etc. The total of these extra taxes does not exceed USD5.00 per night/per room.

2. Most of hotel room rates include breakfast. You should note to us on your information that breakfast includes or not.

3. The room rate excludes the extra charges and expenses of a personal nature such as laundry, telex, telephone calls, fax services, bar, massage expenses, etc.

4. About Payment

Prepayment basis:
You need to pay the full charges to topchinatours reservation center upon receipt of our confirmation of your booking. We accept payment either by credit card (Visa or MasterCard) or Wire Transfer.

The transfer charge is on your own. To be sure of your payment reaching us smoothly, please send a copy of your bank receipt to us.

Your bank receipt or billing form should reach us within 48 hours of your reservation. Otherwise, we will be obliged to cancel your booking without further notice.

Payment at the hotel

The hotel will require you pay the full charges at reception by cash, credit card or traveler’s check on the basis of the total price confirmed by topchinatours reservation center.

We need you to provide your credit card information at the time of booking with our center. It will be used only for the purpose of reserving your hotel room(s). This is necessary due to the high demand for rooms in most Chinese hotel rooms. Provided 48 hours cancellation notice is given USD20.00 service charge will be made. Otherwise cancellation charges will apply in accordance with our terms and conditions.

5. About Variation & Cancellation Policy

A. Variation Policy

Once we have confirmed your booking, any variation of check-in/checkout date(s) or reduction in room requirements beyond our stipulated time limits will incur a fee.

- No fee will be charged if you vary the hotel booking no later than 72 hours prior to the confirmed check-in date.

- All variations occurring after 72 hours prior to the confirmed check-in date will incur a fee equal to a one night’s room rate.

- All changes are subject to room availability, which cannot be guaranteed.

B. Cancellation Policy:

We regret to receive notice of cancellations and appreciate that you may have a good reason for such a decision. However, in view of the fact that we will have entered into contractual obligations on your behalf we request that you notify us by mail or by fax immediately. We will calculate your refund from the day we receive the cancellation notice by Beijing time.

- A booking cancelled at least 48 hours prior to the check-in date will incur service charge USD20.00.

- A booking cancelled within 48 hours prior to the check-in date will incur a charge equal to the full payment of the room rate for each room booked.

- In the event of guests not arriving without any notification 100% of the full sum due will be charged

- If you have made a Pay by Wire transfer to us:

A cancellation fee and the check charge of USD20.00 will be deducted from the total payment you have given to us. Your refund will be sent by check to the postal address you gave in your reservation form within one month of the cancellation.

- If you have paid by credit card to us:

A cancellation fee and check charge of USD20.00 will be deducted from the total payment you have made. Your refund will be sent by check to the postal address you give in your reservation form within one month of the cancellation.
It is in your interest to notify us of any variations in your requirements or the cancellation of your booking at the very earliest opportunity as this will ensure you avoid or minimize any charges we are obliged to make.
